Job Description

  1. We are seeking a highly organized and proactive Executive Assistant and Administrator to support our executive team and oversee administrative functions within our organization.
  2. This role requires a versatile individual who can effectively manage a wide range of tasks and responsibilities to ensure the smooth operation of the office and provide vital support to executives.
  3. This role might have the possibility of work from home with occasional onsite meetings.
  4. Ability to work within different time zones.

Job Responsibilities
Executive Assistance:

  1. Calendar Management: Effectively manage the EXECUTIVE’s complex and ever-changing calendar, scheduling meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and make proactive adjustments as needed.
  2. Email and Communication: Monitor and manage the EXECUTIVE’s email inbox, prioritize messages, draft responses, and ensure that critical matters are addressed promptly. Handle phone calls and inquiries professionally and efficiently.
  3. Travel Arrangements: Arrange all travel logistics for the EXECUTIVE, including flights, accommodations, transportation, and itineraries. Ensure seamless travel experiences, considering time zones and potential delays.
  4. Meeting Preparation: Prepare agendas, materials, and briefings for meetings attended by the EXECUTIVE. Take minutes and follow up on action items as required.
  5. Document Management: Organize and maintain electronic and physical files, ensuring documents are accessible and confidential information is protected.
  6. Gatekeeping: Act as the primary point of contact between the EXECUTIVE and internal/external stakeholders, exercising discretion and professionalism in all interactions.
  7. Project Support: Assist the EXECUTIVE in managing special projects and initiatives, conducting research, and coordinating activities with other team members.
  8. Expense Management: Handle expense reports, receipts, and reimbursements for the EXECUTIVE, maintaining accurate records.
  9. Personal Assistance: Provide personal support to the EXECUTIVE as needed, including managing personal appointments, errands, and family-related matters.
  10. 24/7 Availability: Be available to provide support outside of regular business hours as required, including evenings and weekends, to accommodate the EXECUTIVE’s needs.
  11. Confidentiality: Handle sensitive and confidential information with the utmost discretion and always maintain a high level of professionalism.

Administrative Duties:

  1. Oversee general office administration, including maintaining office supplies, equipment, and facilities.
  2. Coordinate and schedule team meetings and events, ensuring efficient communication and follow-up.
  3. Manage incoming and outgoing mail, packages, and courier services.
  4. Maintain electronic and physical filing systems, ensuring documents are organized and accessible.
  5. Assist in the onboarding process for new employees, including preparing necessary paperwork and coordinating orientations.
  6. Collaborate with HR and finance departments to manage payroll, expenses, and benefits administration.
  7. Handle confidential and sensitive information with discretion and professionalism.
  8. Assist with special projects and tasks as assigned by executives.

Job Requirements

  • Bachelor’s Degree in Business Administration, Management, or a related field (preferred but not required).
  • 1 – 6 years relevant work experience.
  • Proven experience as an executive assistant, administrative assistant, or in a similar role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  • Ability to multitask and prioritize tasks effectively.
  • Exceptional attention to detail and accuracy.
  • Professional demeanor and strong interpersonal skills.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Problem-solving skills and the ability to work independently.
  • Flexibility and adaptability to changing priorities and tasks.
  • Knowledge of office equipment and procedures.

Salary
N100,000 – N200,000 Monthly.
