Job Summary:
This role is responsible for offering support to the Executive Director and overseeing the end-to-end administration of the office. The preferred candidate should primarily have relevant experience in providing upper-level management support and office administration. Also, the candidate should be detail-oriented, proactive and a creative problem solver.

Responsibilities
- Anticipates and provides a high level of initiative and support to the Executive Director.
- Applies strategic business thinking to support the Executive Director across different
functions within the business - Provides comprehensive diary management, using initiative to resolve conflicts and
exercise judgment on priorities. - Manage documents electronically, including letters, memos, itineraries, status reports,
presentations (PowerPoint), spreadsheets (Excel) and other related documents - Maintains the highest level of confidentiality in handling files, e-mail, and other sensitive
client information for the executives and in all aspects of the role. - Schedule travels, arrange meetings and be responsible for handling information requests
and staff requests. - Work closely and effectively with the Executive Director to keep her well informed of
upcoming commitments and responsibilities, following up appropriately. - Completes critical aspects of deliverables with a hands-on approach, including drafting emails, letters, personal correspondence, and other tasks that facilitate the ED’s
deliverables. - Provides high-level, confidential administrative support to the office of the ED.
- Arranging complex and detailed travel plans, itineraries, arrange meetings and responsible
for handling information requests and staff requests - Correspondences – effective management of correspondences and calls. Draft responses
(by phone or email, as may be needed) in a time-sensitive manner, with a clear
understanding of office priorities. Manage, screen and track phone calls and emails - Co-ordinating the ED’s home office, as well as personal CSR projects
- Co-ordination of the ED’s personal staff and home (i.e. drivers, security personnel,
steward, etc.) - Perform other related tasks as may be required by the ED.
Qualifications
- Bachelor’s degree or equivalent experience
- Two to Five years providing support for upper-level management
- Prior experience in office Administration
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks
seamlessly with excellent attention to detail - Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Communication skills, written/verbal
- Ability to prioritize and meet deadlines to keep information confidential
Skills and Competencies - Excellent writing skill
- Great organizational skills
- Ability to work with a broad range of people including colleagues of the ED and staff.
- Very strong interpersonal skills and the ability to build relationships with stakeholders
including staff, Board members and external partners - Experience and interest in internal and external communication
- Digital Savvy and proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint
