Our client, a reputable Quick Service Restaurant with a strong presence in the food industry is in search of an Executive Assistant to the CEO that will provide business and administrative support to the CEO in the day-to-day management of the business, in line with its strategy and long-term objectives.
Work- type: Fulltime
Location: Victoria Island
Working hours: Mon – Sat| 7am-8:30pm
Responsibilities
● Draft acknowledgement letters, personal correspondence, and other tasks that facilitate the
CEO’s ability to effectively lead the business.
● Maintain all hard copy and digital records for ongoing executive projects of the executive
team.
● Collaborate with the administration department in creating and distributing meeting minutes
for the executive meetings.
● Draft, proofread, and edit documents, presentations, and reports as required.
● Develop administrative plans and strategies, including building applicable systems, to support
the achievement of the overall business objectives.
● Act as a liaison to the CEO and senior management teams
● Organise and coordinate executive outreach and external relations efforts; and oversee
special projects
● Plan, coordinate and ensure the CEO’s schedule is followed and respected.
● Communicate directly, and on behalf of the CEO, with internal staff and stakeholders, on
matters related to CEO’s programmatic initiatives.
● Research, prioritise, and follow up on incoming issues and concerns addressed to the CEO,
including those of a sensitive or confidential nature and determine appropriate course of
action, referral, or response.
● Provide a bridge for smooth communication between the CEO’s office and internal
departments.
● Demonstrate leadership to maintain credibility, trust and support with senior management
staff.
● Detect and manage conflicting issues and situations taking place in the business and keep
the executive team updated.
● Develop, maintain and manage administrative budgets and costs through the responsible use
of planning and control systems.
● Provide leadership to build relationships crucial to the success of the organization.
● Complete critical aspects of deliverables with a hands-on approach.
● Prioritise conflicting needs; handle matters expeditiously, proactively, and follow through on
projects to successful completion, often with deadline pressures.
Requirements
● Bachelor’s degree in Business Administration, Communications, or a related field.
● Minimum of 5 years work experience as an Executive Assistant/Administrative Assistant or
similar role
● Excellent verbal and written communications skills
● Strong interpersonal skills
● MS Office and English proficiency
● Active listening and excellent follow-through skills
● Proactive approach to problem-solving
● Discretion and confidentiality
● Ability to multitask and prioritize daily workload
● Strong time-management and organization skills
