Executive Assistant to the Lead Pastor

The Executive Assistant’s role is to provide full secretariat and administrative service with high level confidentiality to the Lead Pastor, ensuring effective planning and administrative systems are in place and maintained efficiently and effectively

Key Deliverables
Communication
Act as first line contact for direct reports of the Lead Pastor.
Receive and direct/screen telephone calls and emails intended for the Lead Pastor’s office as appropriate.
Serve as gatekeeper for the Lead Pastor, while ensuring people are helped/served in a friendly and good manner.
Review and prioritize telephone messages for the Lead Pastor.
Makes telephone calls for the Lead Pastor, as directed.

Itinerary/ Calendar Management
Organizes and maintains the Lead Pastor’s diary.
Make appointments for the Lead Pastor, while redirecting those appointments that can be appropriately handled by another Pastors/ units etc.
Schedules meetings, events, and church-wide activities into the Lead Pastor’s personal calendar at his request.
Provides the Lead Pastor with updated weekly, monthly and yearly calendars.
Coordinates the Lead Pastor’s speaking engagements and travel arrangements.

Meeting Preparation & Support
Supports in preparation for meetings as requested by the Lead Pastor.
Records meeting minutes, when requested, and assists in ensuring meetings commence in a timely manner.
Assists in the preparation for Board of Trustees meetings.
Assists in preparation of notes and slides for speaking engagements.

Files/Database Management
Maintains various types of files and databases for the Lead Pastor.
Maintains database for membership, birthdays, wedding anniversaries, and baby dedications.

Administrative Duties
Reviews and/or draft the Lead Pastor’s correspondence, responds to mails and/or prepares letters, as directed.
Prepares ministry-related correspondence, reports, minutes, etc.
Processes Lead Pastor’s expenses and other administrative items.

Miscellaneous
Coordinates arrangements to host guest ministers at our church events.
Manages various personal matters including banking, flights etc. for the Lead Pastor
Liaises with church members, guests, and other staff.
Other duties as assigned.

Skills and Knowledge
Educational Qualifications & Relevant Experience (Type of experience and minimum number of years
A Bachelor’s degree from an accredited university.
At least 6 years’ experience in providing high level Executive Administrative support
