Reports to: Head, Business Operations
KEY RESPONSIBILITIES
● Greet and welcome guests as soon as they arrive at the office with a positive attitude
● Announce visitors where necessary and direct them to the appropriate person and office
● Answer, screen and forward incoming phone calls
● Ensure reception and office areas are tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
● Ensure that all office machinery and equipment are in good working order
● Provide basic and accurate information in-person and viaphone/email
● Receive, sort and distribute daily mail/deliveries
● Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
● Order office supplies and keep inventory of stock
● Update calendars and schedule meetings
● Arrange travel and accommodation
● Host meetings: Preparing meeting and training rooms
● Keep updated records of office expenses and costs
● Prepare letters, presentations and reports.
QUALIFICATIONS
● Bachelor’s Degree in Business Administration,
● Proven work experience as a Front Desk Executive, Front Office Representative or similar role
● Proficiency in Microsoft Office and Google Suite
● Hands-on experience with office equipment (e.g. Computers and printers)
