ROLE TITLE: Purchasing Officer
REPORTING TO: Supply Chain Manager
LOCATION: Lagos

ROLE PURPOSE
To control the activities pertaining to Purchasing of Local and Imported Raw/Packaging materials (RM) and Finished Goods (FG) ; responsible for documenting and ensuring prompt payment of Supplier invoices; maintain/roll-out a Supplier Evaluation survey process biannually (twice a year) and preparation of AR invoices in accordance with defined processes

RESPONSIBILITIES
Supplier management

  • Responsible for maintaining a complete and appropriate Supplier information through the Vendor Registration form
  • Update existing Supplier records based on notified changes (If any).
  • Review Supplier information on a regular basis, at least annually in order to ensure that information on our database is up-to-date
  • Relate with local and oversea suppliers and PPG company affiliates in the sourcing of needed Raw/Packaging materials and finished goods.
  • Manage liaisons with regulatory agencies (Customs, NAFDAC, SON, NESREA etc) and Banks in the obtaining, maintaining and updating relevant imports documentation
  • Liaising with freight forwarders as regards clearing and delivering of imports to the Company warehouse

Supplier Evaluation Survey

  • In accordance with PPG policy, roll-out Supplier Evaluation surveys every six (6) months,
  • Analysis results of the Supplier Evaluation survey and submit the report to management,

Ordering/Imports documentation process procedure

  • Preparation of Purchase Orders, Form Ms 
  • Liaise with Banks on PAAR issuance; SON, NESREA on imports permits,
  • Calculate landed costs for imports in liaison with the Finance department
  • On a monthly basis, communicate and inform Finance department and management, value of goods in transit and value of goods received, maintaining proper filing of relevant accompanying documentation.
  • Communicate with Stock Controller for receiving supplies into to warehouse

Training and Development

  • Conduct self- appraisal of performance and discuss with the Line manager promptly
  • Identify and discuss specific training and skill requirements necessary to improve job performance with the Line manager
    Reporting
  • Liaising with the Line Manager for ISO audit and other external/regulatory audits in relation to Imports
  • Maintain appropriate cordial relationship with other business partners

Others

  • Carry out any other duties as requested by the Line Manager/ CEO of the company

REQUIREMENTS

  • 3-5yrs experience in a similar role
  • B.Sc. Graduate (Numeric Discipline)
  • A supply chain certification in purchasing and/or Logistics will be an added advantage
  • Excellent Negotiation skills
  • Good Interpersonal and relational skills
  • Professional writing and emailing skills
  • Proficiency in the use of Microsoft Office and especially MS-Excel for data analysis
  • Should be fit and prepared to make market visits and surveys
